SCHEDULER

SCOPE      
 

Oversee the centralized surgical schedules for doctors and technicians.  This critical role is responsible for optimizing the doctors’ schedules and accommodating patient requests in a timely manner.  The Scheduler proactively anticipates, understands, and resolves scheduling issues and concerns. Works with patients daily.

DUTIES

  1. Act with integrity to maintain patient confidentiality.
  2. Facilitate and act as a point of contact for patient reschedules, new bookings, and follow-up visits.
  3. Constantly asses patient waiting list and take action to mitigate backlog.
  4. Provide data, reporting and specialized assistance to the Office Manager.
  5. Communicate scheduling opportunities with the Consultants, Office Manager, & Doctors.
  6. Proactively fill cancellations, reschedules, or other unanticipated openings, and maintain a “move up” list of patients, including the procedure, patient availability, and constraints.
  7. Ability to match Lifestyle Lift® services with customer needs.
  8. Proactively educates patients on rescheduling policies and procedures including rescheduling fees. 
  9. Interact daily with Doctors and surgical technicians regarding scheduling variations, changes, and newly booked appointments.
  10. Communicate with colleagues in roles of similar responsibility to exchange ideas, troubleshoot and learn best practices.
  11. Provide ideas on continuous improvement efforts re: schedule optimization, accuracy of forecasting, usability of information, and timeliness of reporting.
  12. Ensure that the medical schedule is reported and communicated in a way that is organized, usable, and accessible.
  13. Cross-train to support other office functions as needed.
  14. May offer first-line of computer support to office staff.

KNOWLEDGE, SKILLS & ABILITIES

    1. Ability to interface effectively with Patients, Doctors, and all levels within the organization.
    2. Ability to filter a vast amount of information and determine appropriate action.
    3. Ability to forecast, plan and look ahead.
    4. Keen attention to detail and stark organization skills required.
    5. Skilled in juggling multiple schedules in a real-time environment.
    6. Exercises sound decision making.
    7. Proficient in MS Office suite at the intermediate level.
    8. Possesses professional communication and customer service skills.
    9. Works with minimal supervision.
    10. Ability to maintain confidentiality of highly sensitive information.
    11. Commitment to ethical conduct and doing what it takes to ensure optimized scheduling.

QUALIFICATIONS

  • 2 year degree, equivalent certification or equivalent work experience.
  • Experience in a service-oriented business preferred, but not required.
  • Medical terminology or experience in a medical environment preferred, but not required.
